Privacy Policy

National Trucking Services, LLC (“NTS,” “we,” “us,” “our”) respects your privacy.
This Privacy Policy explains what personal information we collect, how we use and
share it, and the choices you have. By using our Services you agree to the practices
described here.
1. Information we collect
1.1 Information you provide
•
Account info: name, email, password (hashed), phone number.
•
Business info: company legal name, business address, EIN, business phone,
office phone.
•
Officer / owner info: full legal name, date of birth, Social Security
Number (SSN), mobile phone, ownership percentage.
•
Vehicle / operation info: vehicle make/model/VIN, registration, title,
bill of sale, planned operating area, type of cargo.
•
Documents: any files you upload (titles, insurance certificates,
registrations, etc.).
•
E-signatures: drawn signature image, full name, IP address, timestamp,
and the version of the agreement you signed.
•
Payments: card information is collected and stored by Stripe, Inc. —
NTS never sees or stores raw card numbers. We retain a Stripe-issued payment
reference, the amount, and a four-digit card suffix for receipt purposes.
•
Communications: questions you ask the AI assistant, customer-service
questions submitted through the “Ask our team” form, and any emails or SMS
exchanges with our staff.
1.2 Information collected automatically
•
Device & log data: IP address, browser type, operating system, referring
page, pages visited, timestamps.
•
Cookies & local storage: session tokens for authentication, the chat
session ID, and basic preferences.
2. How we use your information
We use the information we collect to:
1.
Provide the Services — prepare and submit filings, communicate with the
FMCSA / IRS / states / process agents on your behalf, and deliver completed
documents to you.
2.
Manage your account — authentication, fraud prevention, support.
3.
Process payments — through Stripe, including refunds.
4.
Send transactional communications — receipts, status updates, agreement
confirmations, completion notifications.
5.
Send optional SMS notifications if you opt in.
6.
Improve the product — usage analytics, debugging, AI assistant quality
review (chat content may be reviewed by NTS staff to improve the assistant —
never shared externally).
7.
Comply with law — respond to lawful requests, enforce our Terms,
prevent fraud or abuse.
We do not sell your personal information. We do not use your personal
information for cross-context behavioral advertising.
3. How we share your information
We share information only as needed to deliver the Services and only with
trusted parties under a confidentiality / data-protection agreement.

We will not share your data for marketing purposes by third parties.
4. How we protect sensitive data
•
All connections are encrypted in transit using TLS / HTTPS.
•
Passwords are stored as bcrypt hashes — never in plain text.
•
Access to production data is restricted to authorized NTS staff and is logged.
•
Stripe-handled payment data is stored in Stripe’s PCI-DSS compliant
environment and never touches our servers.
•
We will provide reasonable assistance in the event of a security incident
affecting your data and notify you as required by applicable law.
A note on SSN: providing an SSN is required for IRS / FMCSA filings.
We collect it only for the purpose of completing those filings and access
is restricted to NTS filing staff. We are working to add at-rest encryption
for SSN values; in the meantime please ensure you trust the device and
connection you use to provide it.
5. Data retention
•
Account data: retained while your account is active. Deleted within
60 days of an account-deletion request.
•
Order & filing records: retained for at least 7 years to satisfy
IRS, FMCSA, and Texas record-keeping requirements, even if you delete
your account.
•
E-signature audit trail: retained for the life of the related filing
plus 7 years.
•
Payment / Stripe records: as required by Stripe and applicable
financial-regulation rules.
•
Backups: encrypted backups may persist for up to 30 days beyond
active deletion.
6. Your rights and choices
Depending on your state of residence, you may have the right to:
•
Access the personal information we hold about you.
•
Correct inaccurate information.
•
Delete your account and personal information (subject to retention
obligations above).
•
Export your data in a portable format.
•
Opt out of certain types of processing (we do not sell or share for
cross-context advertising, so this primarily applies to optional SMS).
To exercise any of these rights, email
admin@nationaltruckingservice.com from the address on file. We will
respond within the timeline required by your state’s law (typically
45 days). We may need to verify your identity before fulfilling a
request, especially for SSN-bearing accounts.
California residents (CCPA / CPRA)
California residents have the rights described above plus the right to
designate an authorized agent. We do not “sell” or “share” personal
information as those terms are defined under the CCPA.
European / UK residents
NTS is a U.S.-based company and does not actively market its Services in
the EU/UK. If you nonetheless contract with us from the EU/UK, your data
will be transferred to and processed in the United States. By using the
Services, you consent to such transfers.
7. Children’s privacy
The Services are not directed to children under 18. We do not knowingly
collect personal information from anyone under 18. If you become aware
that a child has provided us with personal information, please contact
us and we will delete it.
8. Cookies
We use first-party cookies and browser local-storage to:
•
Keep you signed in (session_token)
•
Remember the AI chat session (nts_chat_session_id)
•
Remember basic UI preferences
We do not use third-party advertising cookies or marketing trackers.
You can clear cookies in your browser settings; doing so may sign you
out of the Services.
9. Changes to this Policy
We may update this Privacy Policy from time to time. Material changes
will be announced in-app or by email at least 7 days before they take
effect. Your continued use of the Services after the effective date
constitutes acceptance of the revised Policy.
